Document Controller

The RoleMartinus are seeking a detail-oriented Document Controller to join our project team, based out of our Brisbane, QLD office. Document Controller

The Role

You will be responsible for maintaining the integrity of the project document management system, ensuring all documentation is accurately registered, distributed, and filed in accordance with Martinus standards and client requirements.

 

Key Responsibilities

  • Manage the full lifecycle of project documentation including drawings, specifications, reports, correspondence, and transmittals
  • Administer and maintain the project's electronic Document Management System (DMS), ensuring accuracy, version control, and accessibility of all records
  • Coordinate the timely receipt, review, distribution, and filing of incoming and outgoing documentation
  • Liaise with engineers, project managers, subcontractors, and client representatives to ensure documentation requirements are met
  • Prepare and issue document transmittals, ensuring correct revision status and distribution lists are maintained
  • Track and report on document review statuses, outstanding actions, and overdue items
  • Support audits and document control reviews, ensuring compliance with project and company procedures
  • Assist in the development and maintenance of document control registers and document numbering systems
  • Provide document control support during project close-out, including archiving and handover of final documentation

Skills & Experience

  • Experience in an Administration or Document Control role within rail, civil infrastructure, or construction
  • Strong attention to detail and a high degree of accuracy in data entry and record keeping
  • Excellent organisational and time management skills with the ability to manage competing priorities
  • Strong written and verbal communication skills
  • Ability to work both autonomously and collaboratively within a project team environment
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
