We are seeking an Office Manager / Project Administrator to join our friendly and dedicated team on the Inland Rail Albury to Parkes Enhancement Project in Wagga Wagga NSW.
The Office Manager / Project Administrator role is key to our well-functioning project office. The ideal candidate friendly and enjoys working with others, is organised and efficient in completing their tasks and is happy to help wherever they can.
About the Role:
Oversee the efficient running of the office including being the main point of contact for the office, welcoming visitors, accepting deliveries and liaising with building management as required
Maintain stock of stationery supplies and kitchen items
Ensure office common areas and kitchen is kept tidy, and kitchen is stocked with tea, coffee, milk etc. and dishwasher is turned on and unpacked daily
Plan and coordinate internal events and meetings including setting up meeting rooms, arranging catering and setting up IT for meetings
Liaise with members of the management team and client representatives as required to schedule meetings and events
Assist in onboarding new employees in the office and on site, including setting up their desk, set up of IT equipment, issuing of PPE, providing an overview of office facilities, general admin support etc.
Maintain an accurate project roster, ensuring roster is coded correctly according to the legend and changes are actioned efficiently
Work closely with the Travel team to coordinate ground transportation for personnel travelling in and out of the project each week with a focus on maximising use of shared transport and limiting LV transportation
Assist the project team with data input, reporting and document management as required
Prepare minutes, meeting notes, and internal support materials for meetings as requested
Prepare internal communications, minutes, meeting notes, and internal support materials for meetings as requested
Provide administrative support to the project team including document control and QA, finance, engineering or other areas where required
Skills and Experience:
2+ years’ experience in Office Manager or similar administrative role
Previous experience in construction environment highly desirable
Proficient in Microsoft Excel
Ability to maintain a well-organised and efficient workspace
Effectively multitask and prioritise workload
Ability to engage in effective communication with a wide range of stakeholders
Consistently meet timelines and deliver on commitments
Display initiative and have a proactive approach to delivering role
About A2P
The Inland Rail Program is a 1700km rail infrastructure project stretching from Brisbane to Melbourne incorporating new and existing rail track. The program includes the upgrading of existing standard gauge track, the enhancement of existing standard gauge track to cater for double stacking and the construction of new standard gauge links comprising of viaducts, tunnels, rail track, crossings and bridges.
Works in the Albury to Illabo and Stockinbingal to Parkes sections involve extensive enhancements to specific sites across the 355km of existing track running from Albury to Parkes. These enhancements will provide the necessary vertical and horizontal clearance along the existing 'Main South Line' corridor to support the safe running of double-stacked freight trains up to 1,800m long and 6.5m high.
